Create the Email Template in Gmail to Send Automatic Reply Emails in Gmail

Templates can be created and used on the Gmail website. Gmail’s mobile apps do not support the feature as of now.

Enable Templates

You must first enable Gmail’s template set before you can use it. Choose “See All Settings” from the sidebar that appears when you click the gear icon on the top right.

Select Enable to the right of Templates under the Advanced tab. Scroll to the bottom and click Save Changes.

Your changes will be applied when the webpage refreshes.

Compose the Template

You can create an email as normal by clicking “Compose” in the top right. Type in the subject line and the body of the email.

To display more options on the email, click the three dots at the bottom right of the message. Select Templates > Save Draft as Template > Save as New Template from the drop-down menu.

Click “Save” to save your template.

If you don’t want to send this email manually, you can close the email by clicking the X on the top right.

Set Up the Automated Filter to Send the Email

You can now set up the filter to send your email automatically once your template has been built.

You can return to your Gmail settings by clicking on the gear icon and then selecting “See All Settings.” This time, select the Filters and Blocked Addresses tab and click “Create a New Filter” at the bottom.

Specify the criteria that should trigger automatic emailing for incoming messages. For instance, on your website, you might include the Subject if you have an email link. Alternatively, you could use the Words if you wanted others to include certain words. To create a filter, click Create.

You will find the actions for the matching emails on the next screen. From the drop-down list, select your template from Send Template. You can also add additional actions here if you wish. Consider applying a label or forwarding the email to follow up or further action.

After selecting the actions, click “Create Filter.”

Send a test message to the email address to ensure this process works as expected. Upon receiving the automatic email, confirm its receipt.
